Sell at the counter

Open the POS, add items, take payment and finish a sale, with the checkout layout for your type of business and keyboard shortcuts.

Desktop: sell at the counter

This tutorial walks through one sale on the Desktop POS, from opening the screen to the printed receipt. It takes about 3 minutes. The steps use the General layout, and the sections below explain what differs in the other layouts.

Before you start

Steps

Open the POS

On the Home screen, click the big blue button. It reads Start selling when no register is open and Continue selling when one is.

Open the register

If the register is closed, the POS shows Open register. Count the cash in the drawer, enter it as the Opening float, then click Open register. This amount is the start of Expected cash when you close the register later.

Find a product

Just start typing or scan a barcode. Your text goes to the search box, which you can also reach with F2. Pick a category chip to narrow the list.

Add it to the cart

Click the product. Items with variants ask you to Choose a variant first. The cart on the right shows the quantity, price and total. Use + and − on a line, or the x to remove it.

Adjust a line

Click the name of a line to change the Quantity, give a Line discount, add a Note, or switch between Retail and Wholesale prices when the product has a wholesale price. Click Save.

Choose a customer

Click the customer box (F4) and search by name or phone. Members show their points. If you skip this, the sale is for a Walk-in customer.

Click Pay

Check the subtotal, discount, tax and total, then click Pay (F12). If the register is still closed, the Open register window appears first.

Take the payment

Choose Cash, QRIS, Card or Transfer. For cash, type the Cash received or tap one of the quick amounts, and Bakasir shows the Change. Click Confirm payment.

Finish the sale

Payment complete shows the total and the change. The receipt prints by itself when Print automatically is on in Devices, and the cash drawer opens for cash. After 3 seconds a new sale starts. Click Stay on this screen to keep the summary, or Print again to reprint.

Checkout layouts

Bakasir picks the layout from your business type. For the same layouts on the web, see Web POS.

  • General: product cards or a list. Click a card to add it. Use the list view button if you prefer rows.
  • Coffee: the menu with modifiers. Each item asks for Size, Serving (Hot, Iced, Less sugar, No sugar), Add-ons (Extra shot, Oat milk, Extra cheese), an Other option and a Note for the kitchen. Choose Dine in or Take away above the cart. The Restaurant layout uses the same modifiers.
  • Restaurant: starts on the Floor plan with your floors and tables, free and occupied. Open a table to add its order and keep the running bill. Click Take away for orders without a table, and Floor plan to return. Send new items with To kitchen. The kitchen ticket prints on the kitchen printer and appears on the kitchen display. Items already sent are not sent twice.
  • Supermarket: a fast scan table with Code, Item, Qty, Price and Subtotal, a large total box and function key buttons on the side. Scan or type a name or code and press Enter. Results show in a list under the search box. Click Void to clear the cart.
  • Pharmacy: a medicine table with unit, stock and the Nearest expiry date. Choosing a product asks for a batch (the nearest expiry comes first, and batches that expire soon are marked Expires soon) and the Dosage such as 3 x 1, After meals or Before meals.

To sell by weight in the Supermarket and Pharmacy layouts, open the line and press the scale button (Read from scale) after connecting a scale in Devices.

If the Restaurant layout shows No tables yet, turn on Table management in the Portal under Settings → POS and add tables, or sell takeaway orders.

Discounts and approval

Click Discount (F6) for an Order discount in money, or to redeem a member's points. A manual discount replaces automatic promotions, while qty prices and promotions otherwise apply by themselves and show as small badges on the line.

If a Staff cashier gives a manual discount or changes tax, payment asks for approval. Choose one of these:

  • Ask a Manager or Owner to type their POS PIN in Manager PIN for approval. This is the PIN from the Portal under Settings → POS, not the cashier sign in PIN.
  • Click Ask a Manager to approve remotely. The Manager approves from the Portal or the Android app, and the sale continues by itself.

Hold and resume a sale

Click Hold (F8) to park the cart, serve someone else, then open Drafts (F9) and click Resume. Held sales stay on the computer even if you close the app.

Payment methods

  • Cash gives change and opens the drawer when Open cash drawer is on.
  • QRIS shows a QR code on the payment window and on the customer display when your business has a payment gateway set up. The sale completes when the customer pays. Without a gateway, Bakasir records QRIS as paid when you click Confirm payment, so check the customer's phone first.
  • Card and Transfer record that the customer paid with an EDC terminal or a bank transfer.
  • Split payment appears when it is on in the Portal under Settings → POS (Enable split bill). Add each part with Add until the remaining amount is zero.

If the internet drops

Selling continues from the saved catalog (the Saved catalog label shows). Each sale gets its own receipt number, the done screen says Saved offline, waiting to sync, and the N queued chip next to the search box counts waiting sales. When the connection is back they are sent in order. Click the chip to send them now.

Same rules as Web POS

Prices, promotions, qty prices, member points and approvals follow the same rules as the Web POS, see Discounts and promotions and Payments.

Tips

  • Sounds. Short sounds play when items are added or removed, when a payment succeeds and on errors. Change them in Settings.
  • Scanner. A USB barcode scanner needs no setup. Scan from anywhere on the POS screen.
  • Touch screens. Turn on Touch mode in Settings for bigger buttons.
