Cash, X and Z reports
Open the register, record cash in and cash out, check the drawer with an X report and close the shift with a printed Z report.
The Cash and reports tile is where you run the cash side of a shift. This tutorial covers opening the register, recording cash that goes in or out of the drawer, checking the shift with an X report, and closing with a Z report. It takes about 4 minutes.
Before you start
- You are signed in. See Sign in and lock the screen.
- A receipt printer is set up if you want printed reports. See Printer, drawer and devices.
- You know how much cash is in the drawer. Count it before you open.
Steps
Open Cash and reports
On the Home screen, click Cash and reports. You see the register of this terminal.
Open the register
If the screen says Register is not open yet, enter the cash you counted as the opening float and click Open register. This is the amount Expected cash starts from. You can also open the register from the POS when you press Pay.
Record cash in
When money is added to the drawer, for example more change, choose Cash in. Type the amount, add a Note if you like, then click Save.
Record cash out
When money leaves the drawer, choose Cash out. Type the amount and a Note, which is required. Use Petty cash for small shop expenses, also with a note. The drawer opens after cash out and petty cash.
Check the shift with an X report
Click View X report for the sales and cash so far. It shows on a paper style preview and does not close anything. Click Print to print it.
Close the register
At the end of your shift, count the drawer and click Close register. Enter what you counted as Cash in drawer (counted), add a Note if it differs, then press and hold Hold to close register.
Read the Z report
The register closes and the Z report appears. It prints by itself on the receipt printer. Click Last Z report later to see it again. The report lists sales, payments, refunds, voids, expected cash, counted cash and the Difference.
What the numbers mean
- Opening float is the cash you started with.
- Net cash is the cash taken in sales, minus change given.
- Expected cash is the opening float, plus net cash and Cash in, minus Cash out and Petty cash. It is the amount that should be in the drawer.
- Difference is counted cash minus expected cash. A difference is recorded in the register report, not hidden.
The list Cash movements this shift shows every cash in, cash out and petty cash with who entered it and when.
Attendance
If your business uses attendance, click Clock in under Attendance on the Home screen when you start, and Clock out when you finish. Home shows Clocked in at and the time.
Tips
- One cashier per terminal. If Home says Register used by another cashier, ask them to close it first. The new cashier then opens a fresh register.
- Before you close, check that the N queued chip in the POS shows nothing waiting. Sales made offline are only in the Z report after they reach the server.
- Leaving the app. If you choose Exit app while the register is open or you are clocked in, Bakasir warns you first.
- Web registers. Cash sessions made here appear in the Portal register report. See Register.
