Open, close and review the register
Start a shift with an opening balance, close it with a cash count, and read the register report.
The register is the cashier session that tracks the cash in your drawer from opening to closing. Each cashier opens their own register and closes it at the end of the shift. This tutorial covers the whole shift, with a closer look at the closing count and the report. It takes about 4 minutes.
Before you start
- You are signed in to the Portal and the Web POS is on. See Open the register and make your first sale.
- You have the cash for the drawer in hand and an internet connection. A new register cannot be opened offline.
Steps
Open the register
Click Open POS. In the Open register window, check the Opening balance, which starts with the default amount from Settings → POS. Count the cash in the drawer, correct the amount if needed, then click Open register.
Fix the opening balance if it was wrong
Click the gear button for POS Settings and use Adjust Opening Balance. Enter the right amount and an Adjustment reason, then click Save opening balance. Only your current session changes. The old amount and your reason are recorded.
Keep an eye on the day
Click Today's Sales for the totals of the day. The top of the screen shows if you are Online, Offline or have sales waiting to sync.
Choose Close Register
At the end of the shift, open your avatar menu and choose Close Register. Finish or hold the sale in progress first, because closing the register clears the cart.
Count the cash
The window shows the Opening balance, Cash in, Cash out (change) and Expected in drawer. Count the money in the drawer and type it in Counted cash. Difference shows the gap at once: zero is green, anything else is red.
Add a note and close
If there is a difference, explain it in the optional note. Click Close Register. The register closes and you return to the Portal.
Read the register report
As an Owner or Manager, go to Reports → Transaction Reports. The Cash Register tab lists every session with who opened it, the cash in and out, the sales, the closing count and the difference. The Z-Report tab gives the totals of a date range with payments by method.
How Expected in drawer is worked out
Expected in drawer = Opening balance + Cash in - Cash out (change).
- Cash in is the cash portion of every sale made in this session, including the cash part of a split payment.
- Cash out (change) is the change given to customers, plus cash returned for refunds and voids done while this register was open.
- Card, QR, e-wallet and bank transfer payments are not part of the drawer.
Adding or taking cash from the drawer outside a sale (for example petty cash) is not available in the Web POS. The Desktop app has it, see Cash and reports on Desktop.
Opening hours and automatic closing
The Owner can set a daily schedule in Settings → Business, under Opening & Closing Hours: Opening time, Closing time, Opening grace (minutes) and Closing grace (minutes). Cashiers get a reminder before opening and before closing.
When the closing time and its grace period pass, the register is closed for you:
- The POS shows the Close register screen and sales are blocked. The register shows Automatically closed: cash has not been counted.
- Count the cash, type it in Cash counted and click Confirm cash count. Until you do, the session is marked as unconfirmed in the report.
- To keep selling after hours, click Continue as overtime. Count the cash again, type a reason and, if you are Staff, the Owner/Manager approval PIN, then click Approve and start overtime. Overtime sales go into a separate session marked Overtime.
If a cashier forgets and leaves a register open, an Owner or Manager can click Force Close on that session in the Cash Register report, with a count and a reason. The action is kept in the audit log.
Tips
- One cashier per terminal. While a session is open, nobody else can open a register on the same terminal. Close the register before the shift changes.
- Pair the device. On the Open register window, an Owner or Manager can click Pair this device to link this browser to a terminal made in Settings → Business (Sales → Terminals with the POS Terminal Management plugin). You cannot change the terminal while a register is open or sales are waiting to sync.
- Receipt numbers include the terminal code, so two terminals never share a number.
- The report time zone is the one in Settings → System.
