Read your reports

Find out what sold, what you earned and what is in stock, and export any report to PDF, Excel or CSV.

Read your reports

Reports turn your daily sales, purchases and stock into answers: which products make money, which payment methods customers use, how the cash register ended the day. In this tutorial you read a report and export it. It takes about 4 minutes.

Before you start

  • You are signed in to the Business Portal as an Owner or Manager. The Reports menu is not available to cashiers.
  • You have some sales in the period you want to look at.

Steps

Open a report

Click Reports in the left menu and choose a report. Business Analytics is a good first stop, with the tabs Overview, Cash Flow, Profit & Loss, Product Analytics, Brand Analytics and Categories Analytics.

Choose the period and the store

Pick a date range at the top, such as Today, Last 7 days or This month, or a custom range. Use the store filter, which starts on All stores, to look at one outlet only. Report dates follow the Timezone in Settings → System.

Read the profit and loss

Open the Profit & Loss tab. It shows Total Income, Cost of Goods Sold, Gross Profit, Expenses and Net Profit for the period.

See what sells best

Open Product Analytics. Each product shows Qty Sold, Revenue, Cost, Profit and Margin. Sort by revenue, quantity, profit, margin or name. Brand Analytics and Categories Analytics do the same for brands and categories.

Check the cash register

Open Reports → Transaction Reports. The Z-Report tab sums up the day, the Sales tab lists your sales by date, and the Cash Register tab lists each register session with Opened, Cash In, Cash Out, Closing and Difference.

Look at stock and customers

Inventory Reports shows your Inventory Valuation and Stock Movements, with filters for category and status (In Stock, Low Stock, Out of Stock). Customer Reports shows visits, total spent and outstanding amounts. Staff Reports compares the sales of each team member.

Export the report

Click Export and choose PDF, Excel or CSV. The file contains the rows you are looking at, for the period and filters you chose.

Z-Report and other transaction tabs

  • Z-Report: transactions, gross sales, discounts, tax, net sales, amounts paid, change given and refunds, split by payment method.
  • Refunds Ratio: how large your refunds are compared with your sales.
  • Refund & Returned: the list of refunded and returned items.

Build your own report

Reports → Custom Reports lets you create a report from sales, inventory movements or purchases.

  1. Pick the data source: Sales transactions, Inventory movements or Purchases. Not sure? Start with sales.
  2. Click the fields you need: choose what to group by (for example Product, Cashier or Date), then the values to calculate (for example Net Sales). The preview updates instantly.
  3. Set the filters, the date range and how to display it: Table, Bar, Line or Pie.
  4. Give it a name, click Save, and Export when you need a file.

Or click Templates and start from a ready report, such as Sales per day, Best-selling products, Sales per cashier, Sales per category, Top customers, Payment methods or Busiest hours. Your saved reports are in the Saved tab, where you can run, duplicate or delete them.

The sales list

Sales → Transactions is the history of every sale. Search by receipt number, filter by status (Completed, Voided, Refunded, On Hold) and payment method, then open View Details to see the receipt. From the actions menu you can Print Receipt, send it by email or WhatsApp, or start a refund or void. Cashiers see only their own sales. See Refunds and voids.

Reports from extensions

Some reports appear only when an extension is active: Inventory Turn Over (how fast each product sells, and your slow and dead stock), Financial Insights (a monthly reading of your numbers) and Coretax (output tax invoices for Indonesian tax reporting). The Owner turns them on in Plugins. See Extensions.

Tips

  • Compare before you act. Look at the same period last month before you decide a product is slow.
  • Profit needs costs. Profit reports use the cost on your products and purchases. Keep them current.
  • Large exports. Choose a shorter period or a store filter if a file is too big to open.
