Control your stock
Watch stock levels, count your shelves, correct differences and move stock between outlets.
Bakasir updates your stock by itself every time you sell, buy or return something. This tutorial shows how to check your stock, count the shelves and fix any difference. It takes about 5 minutes.
Before you start
- You are signed in to the Business Portal as an Owner or Manager. Cashiers can view stock but cannot post counts, adjustments or transfers.
- Your products exist and have an opening stock. See Add and manage products.
- Stock is kept per outlet. Use the store switcher in the left menu to choose the outlet you are working in.
Steps
Open the Stock Monitor
Click Inventory → Stock Monitor. The cards at the top show Stock Valuation, Low Stock and Total Products. The tab Available Stock lists every product with its Qty In Hand, Reserved, Available, Avg Cost and Reorder At.
Find what is running out
Open the Low Stock tab. It lists products Below Reorder Point and products that are Out of Stock. The reorder level of a product is the Stock Alert you set on the product.
Check the stock history
Open Stock Activity to see every movement with its date, kind and quantity: Sale, Purchase, Adjustment, Transfer, Return, Opening Stock, Void or Import. Search by product or reference to find the cause of a difference.
Start a stock count
Click Inventory → Stock Opname, then Start Reconciliation. Choose the Store, the Count Date, and give the count a Name, for example "Monthly count". Click Add Product and search for each product you counted.
Enter what you counted
For each product, enter the Counted quantity from the shelf. Click Save Draft. You can come back later and keep counting.
Post the count
Open the draft from the list. Bakasir shows On Hand, Counted and Variance for each product. Click Save Counts if you changed something, then click Post. Posting freezes the count and applies the variance to your stock.
Correct one item with a stock adjustment
For a single fix, click Inventory → Stock Adjustment, then New Adjustment. Choose the Store, Date and Reason: Correction, Damage, Theft, Expiry or Other. Add the product, enter the Qty, and pick Addition or Subtraction.
Submit the adjustment
Click Save Draft to finish it later, or Submit and confirm. Submitting applies the stock change and cannot be undone.
Move stock between outlets
If your business has more than one outlet, use Inventory → Stock Transfer.
- Click New Transfer and choose the From Store and To Store. They must be different.
- Set the Transfer Date and the Expected Arrival, add the products and quantities, and click Create Transfer.
- In the list, use the Actions menu: Dispatch when the goods leave, Receive when they arrive, or Cancel.
A transfer goes through Draft, Sent (in transit) and Received. With only one outlet, the form tells you to add another outlet first, in Settings → Business.
Receive new stock
New stock normally enters through a purchase from a supplier. Receiving a purchase adds the quantity and updates the cost of your stock. For items with a batch number and expiry date, enter both on the purchase lines. See Buy from suppliers.
Sync conflicts
When a Desktop or Android cashier sells while offline, the sale is sent later. If the stock on the server is no longer enough for that sale, it waits in Stock Monitor → Sync Conflicts. Choose Keep Server Stock to leave the stock as it is, or Accept Sale to accept the sale anyway.
Tips
- Count at a quiet time. Sales during a count change the on-hand number. Post the count soon after you finish.
- Always give a reason to adjustments. It makes the history clear for the next person.
- Costing (Moving Average, FIFO or Batch-Specific) is set in Settings → System and only affects future movements.
- Reports. The Inventory Reports show stock value and movements for any period. See Read your reports.
