Add and manage products

Create products with prices, tax and opening stock, add variants, organize categories and import many items from a CSV file.

Add your first product

Your catalog is the list of everything you sell. In this tutorial you add your first product, then learn how to add variants, organize categories and brands, and import a whole price list at once. Adding one product takes about 3 minutes.

Before you start

  • You are signed in to the Business Portal as an Owner or Manager. Cashiers can look at the catalog but cannot change it.
  • Your tax settings are ready. See Set up your business.

Steps

Open the product list

Click Catalog → Product in the left menu. The list has four tabs: Products, Category, Brands and Services.

Click Add Product

Click Add Product and choose Product for something you stock and sell. Choose Digital Product or Service for items without physical stock.

Name the product and add a photo

Enter the Product Name, which cashiers and customers see on the POS, receipts and reports. Add a Product Image (PNG, JPG or WEBP, up to 5 MB). No photo handy? Click Search free images to pick one.

Choose the category, brand and unit

Select a Category, Brand, Sales Unit and Purchase Unit. If the category or brand does not exist yet, click the + button next to it, type a name and save. Bakasir creates the product code for you.

Set the prices and tax

Open Pricing & Tax. Enter the Retail Price, the Cost (what you pay for it) and, if you sell to resellers, the Wholesale Price. Then set the Tax Rate (%) and the Tax Type: Exclusive adds tax on top of the price, Inclusive means the price already contains tax.

Set the opening stock and the alert level

In Basic Information, set Stock Alert. When the stock reaches this number, the product shows up in your low stock alerts. In Options, enter the Opening Stock you have right now. It is added to the outlet you are working in, and only on new products.

Check the options

Still in Options, make sure Active and Display on POS are on, so cashiers can sell it. Turn on Hide from online store to keep it out of your web shop, and Has serial number for items that need a serial number.

Save the product

Click Save & Exit to finish, or Save & Add More to enter the next product right away. Save as Draft saves the product as inactive, so it does not appear on the POS yet.

Products with variants

Use variants when one item comes in several versions, such as size and color.

  1. Open Catalog → Variants and click Add Variant to create an attribute, for example Size with one option per line (S, M, L). Up to 50 options per attribute.
  2. Add a product and set Product Type to With Variants. The type cannot be changed after the product is created.
  3. In the Variants section, tick the options you sell for each attribute, then click Generate combinations. You can combine up to 4 attributes, with at most 200 combinations. Add Variant adds one row by hand.
  4. Give each combination its own Code, Cost, Price and Wholesale price.

Variants that already exist stay on the product to protect your sales history. Change their stock in Inventory, not in the product form.

Categories and brands

Open the Category or Brands tab to add them in bulk. For a category you can set the Parent category, an image, and whether it is shown on the POS (Display on POS) with its sub categories (Display sub categories). Categories group the buttons on the POS and the figures in reports.

Import many products from a CSV file

  1. Open Catalog → Import Products.
  2. Choose the tab: Single Products, Variant Products or Services.
  3. Click Download example, fill it in with a spreadsheet program and save it as CSV.
  4. Click Click to choose a CSV file. Bakasir shows how many rows it found.
  5. Click Import now, and keep the tab open until it finishes. The result shows how many rows were imported and how many failed.

The first row must be the header. Required columns are name and price for single products and services, and name, variant_name and variant_price for variant products. Prices are plain numbers in your currency, for example 22000. Single products can also carry code, cost, wholesale_price, unit, stock_alert, opening_stock and description.

Work on many products at once

In the product list, tick the boxes in front of several products. A bar appears with Activate, Deactivate, Change category, Change brand, Export CSV and Delete selected. Use the search box, the Category, Type and Status filters, and Sort to find products quickly. Switch between Table and Grid views.

Special prices by quantity

When the Quantity Pricing extension is active, an existing product gets a Quantity Pricing section. Enable it, then add tiers: from a Min Qty, the Price per Unit drops. The POS applies the best tier automatically. See Discounts and promotions.

Tips

  • Cannot delete a product? A product that was already used in a sale is protected. Turn off Active instead, and it disappears from the POS but stays in your reports.
  • Price changes apply to future sales only. Past receipts never change.
  • Services and digital products have no stock fields and are never "out of stock".
