Accounting
See your books build themselves from sales, purchases and expenses, check the statements and lock a finished period.
With the Accounting Suite plugin, Bakasir keeps a double-entry set of books for you. Your sales, purchases, expenses, deposits and transfers are turned into journal entries automatically, and the statements are built from them. This tutorial walks through a month-end check. It takes about 6 minutes.
Before you start
- The Accounting Suite plugin is installed. See Plugins and Marketplace.
- You are an Owner or Manager. Staff do not see the Accounting menu.
- Your sales and purchases for the month are recorded.
Steps
Open the Accounting dashboard
Go to Accounting → Dashboard. It shows Income, Expenses, Net Profit, Assets, Liabilities and Equity, and a chart of income against expenses for the last 12 months.
Review the Accounts
Open Accounting → Accounts. This is your chart of accounts, grouped by class: Asset, Liability, Equity, Income and Expense. A ready-made list is already there. Use Add New Account or Add New Group if you need more.
Check the Double Entries
Open Accounting → Double Entries. Each line says which account receives an event, such as Cash payments, Non-cash payments, Sales revenue, Cost of goods sold, Inventory, Tax payable or Salary expense. Change an account here and every future entry follows. Do not change it just to make a report balance.
Read the Journal Entries
Open Accounting → Journal Entries and set From and To. Each card is one entry with its number, the source (sale, purchase, expense, deposit, transfer or manual) and its debit and credit lines. Use Create for a manual entry. Debits must equal credits.
Check the Trial Balance
Open Accounting → Trial Balance. It lists the balance of every account, debits on the left and credits on the right. The Total of both sides must be equal.
Read Profit & Loss and Balance Sheet
Accounting → Profit & Loss shows income and expenses over the period you choose. Accounting → Balance Sheet shows assets, liabilities and equity As of a date. A line under it confirms that Assets equal Liabilities plus Equity.
Check the Tax Summary Report
Open Accounting → Tax Summary Report. It sets the Output Tax collected on sales (after returns) against the Input Tax paid on purchases. Net Tax is the difference.
Record a transfer or a deposit
Use Accounting → Money Transfer to move money between two accounts, for example from the cash account to the bank. Use Accounting → Deposit for money that comes in outside a sale, such as owner capital. Enter the date, the accounts, the amount and the details. Each one creates its own journal entry.
Lock the period
When the month is checked, the Owner goes to Settings → System and sets Period Lock Date. Documents on or before that date can no longer be changed.
What creates journal entries
| Event | What is recorded |
|---|---|
| Completed sale | Sales revenue, tax collected and cost of goods sold. Cash and non-cash payments go to their own accounts. Change given is a cash outflow. |
| Void or refund | A reversal of the original entry. The original is kept. |
| Online order | Recorded when the order is set to Completed. |
| Purchase and expense | The cost, with unpaid purchases kept as accounts payable. |
| Payroll marked Paid | A salary expense, if Include in Accounting is on. |
| Deposit and money transfer | Entries you create yourself. |
You can edit or delete a transfer or a deposit while its period is open. The journal entry follows the change.
Tips
- Entries appear when you open Accounting. They are created from your documents the first time you look, then stay in step as you work.
- Fix the source, not the report. To correct a sale, void or refund it. See Refund or void a sale. The accounting entry follows.
- A locked period. Changes to sales, voids, purchases, transfers and manual journals inside the locked period are refused. To correct something, the Owner can reopen the period in Settings → System, which asks to confirm.
- Currency. Amounts show in your currency with the formats in Settings → System.
- Reports. For sales and stock reports, see Reports.
