HRM: leave, payroll and hiring

Mark holidays, handle leave requests, record payroll and payslips, and run recruitment from one place.

HRM: leave, payroll and recruitment

The HRM Suite plugin adds people management to the Portal: holidays, leave, payroll and recruitment. This tutorial goes through each one in the order you would use them. It takes about 8 minutes.

Before you start

  • The HRM Suite plugin is installed. See Plugins and Marketplace.
  • Your team members already have staff accounts. See Team.
  • Dashboard, Holiday, Payroll and Recruit are for Owners and Managers. Every team member can open Attendance and Leaves.

Steps

Open the HRM menu

The HRM menu takes over from the Staff menu. It holds Dashboard, Staff List, Attendance, Leaves, Holiday, Payroll and Recruit. The HRM Dashboard shows Staff, Present Today, On Leave Today, Pending Leaves, Upcoming Holidays and Open Jobs.

Mark the holidays

Open HRM → Holiday. Click a date, or drag across several dates, to mark a holiday. In Add New Holiday, enter the Title, choose the Store (or All Stores), the type (National, Company or Collective Leave), the Start Date and the Finish Date.

Request a leave

Open HRM → Leaves and click Request Leave. Leave Staff as Myself, or pick a team member if you manage them. Choose the Type (Annual, Sick, Unpaid or Other), the Start Date and End Date, add a Reason and click Submit.

Approve or reject the leave

A manager opens HRM → Leaves and clicks Approve or Reject on a Pending request. You can select several rows and decide them together. Pending requests also appear in the bell.

Set the payroll defaults

Open HRM → Payroll and open Payroll Settings. Choose the default Salary Payment Method, the Payday Date and whether to Include in Accounting. These defaults fill new records.

Add a payroll record

Click Add Manual. Choose the Date and the Staff member, enter the Net Salary, choose Paid By (Bank Transfer, Cash or Cheque), set the Status (Unpaid or Paid) and add a Note. Click Create.

Send the payslip

On the payroll row, use the icons to Download Payslip as a PDF, Send via Email or Send via WhatsApp. Email needs an email address on the staff account, and WhatsApp needs a phone number.

Post a job

Open HRM → Recruit and go to Jobs. Click Add Job and fill in the Job Title, Department, Skills, Location, Total Openings, Job Type, Work Experiences and Job Description. Choose which details applicants must give under Required Field, then save. The job is published while Open for applications is on.

Review candidates and schedule interviews

Open the Candidates tab to read the applications and files. Move a candidate to Interview, Hired, Rejected or Whitelisted. Click Schedule Interview, pick Interview at and the Interviewer, then click Schedule. The Interview Schedule tab shows the month.

How payroll and accounting connect

  • Payroll in Bakasir is a record you enter: who, when, how much and how it was paid. It does not work out the salary from attendance for you.
  • Saving a record as Paid writes a Salary expense when Include in Accounting is on. The accounting journal picks it up as Salary expense. Do not enter the same salary again in Purchase → Expenses.
  • A record that stays Unpaid past its date shows Overdue.

The careers page

Click Career's Page at the top of Recruit to open your public page, at your store address followed by /careers. Open jobs appear there, and people apply with the form. The page needs the HRM Suite and your Store URL, not the E-Commerce Suite.

Candidate files are private

Photos, resumes and ID cards are for Owners and Managers only. Download them only when you need them, and do not share them. Set Disclose Salary on Career's Page only when you want the range to be public.

Tips

  • Holidays. They show on the Holiday calendar and under Upcoming Holidays on the HRM Dashboard.
  • Time zone. Dates follow the time zone in Settings → System. Check it before you pay a period.
  • Correcting money. If a payroll record is wrong, edit the record. Do not fix it with a separate expense.
  • Attendance. Staff clock in and out in HRM → Attendance. See Team.
