Owner mode

Follow sales, profit and reports from the Desktop app, and choose whether the Owner also works the cashier.

Desktop: Owner mode with the Dashboard and reports

Owners and Managers can read their business numbers right inside the Desktop app, with Dashboard, Analytics and Reports. This tutorial sets the Owner up as a viewer only, which is the "owner mode", and shows how to read each screen. It takes about 4 minutes.

Two ways to use the app as an Owner

The Portal setting Allow Owner to operate the cashier? decides what the Owner sees after signing in. It applies to the Desktop and Android apps together.

  • On (the default): the Owner gets the normal cashier home, with Sales, Cash and the POS, plus the Dashboard, Analytics and Reports tiles. Managers always get those same three tiles.
  • Off: the Owner gets an owner home, built around the Dashboard, with only Dashboard, Analytics, Reports, Notifications and Settings. The POS, Sales and Cash tiles are not shown.

Staff never see Dashboard, Analytics or Reports.

Before you start

  • You are the Owner of the business, and the Desktop app is paired to a terminal. See Install and activate.
  • You have an operator PIN. You can set it in the Portal under Settings → Business → Native app operator PINs or under Staff → Staff List.

Steps

Open the terminal settings in the Portal

In the Business Portal, open Settings → Business and find the Owner on the native apps panel.

Turn off the Owner cashier

Switch off Allow Owner to operate the cashier? The change is saved at once. The apps notice it within about a minute.

Set your operator PIN

In Native app operator PINs, choose your name under Operator, type a PIN of 6 to 12 digits in Operator PIN and click Save PIN.

Sign in on the Desktop app

On the Cashier sign in screen, type your PIN. The owner home opens with a greeting and three tabs: Dashboard, Analytics and Reports.

Read the Dashboard

Pick a period at the top: Today, Yesterday, 7 days, 30 days, This month, Last month or Custom, and an outlet or All outlets. You see sales, profit, transactions and average sale with the change against the last period, a sales trend compared with the Last period, the profit margin, Payment methods, Peak hours, Sales mix, Top products, Low stock, Activity and the current Shift.

Open Analytics

Click Analytics for Store performance, Cash flow, Profit & loss, Inventory turnover and Insights. Inventory turnover and Insights are marked (locked) until their plugins are active.

Open Reports

Click Reports for Z-report, Sales, Products, Brands, Categories, Cash registers, Refunds & returns, Inventory, Customers and Staff. Choose a report tab, then narrow it with the period, outlet, category or search box.

Reading tables

Report tables show the first 300 rows. The Totals row always adds up every row, not only the visible ones. Wide tables scroll sideways. Dashboard and report numbers use the date, number and currency formats from Settings → System in the Portal.

Going back to the cashier

Switch Allow Owner to operate the cashier? back on in the Portal. After about a minute the Owner home becomes the normal cashier home. If you are on a module at that moment, it changes when you return to Home.

Notifications and settings

The bell opens Notifications, where you can approve or reject requests from cashiers. Your name at the top right opens the menu with Lock screen (Ctrl+L), Settings, Sign out of checkout and Exit app.

Tips

  • Locked reports. Inventory turnover and Insights need their plugins. See Extensions.
  • Same numbers as the Portal. The Desktop reads the same reports as the Portal, see Reports and Dashboard.
  • Managers. A Manager does not need this setting. They already have the three tiles beside the cashier tiles.
