Purchases & Expenses

Order supplies, receive stock, manage suppliers, and record operating costs.

In Purchase → Suppliers, add the supplier's name and required contact details. Check for an existing supplier before creating a duplicate. In Purchase, start a purchase for the correct outlet and supplier, add product/variant lines, quantities, prices, tax, and shipping costs, then review totals before saving or receiving.

Receiving a purchase creates the appropriate stock movement and cost layer. Shipping contributes to landed cost according to the configured costing rules. Inspect receipt quantities and batch/expiry information before confirming; a draft purchase does not make stock sellable. To correct a finalized financial document, use its supported cancel/void and reissue flow rather than rewriting history.

Record operating expenses

Open Purchase → Expenses, choose the date, category/account where applicable, description, amount, and supporting attachment if available. Save only once, then verify it appears in expense and Profit & Loss reports. Payroll paid through HRM can create a salary expense when its accounting option is enabled; avoid entering the same amount manually twice.

Before comparing costs

Use the same outlet, currency, timezone, and date range in Purchase and Reports. Amounts are stored in integer minor currency units to prevent floating-point drift.
